13 Tips for Company’s Safety Legal Compliance

Having list of safety legal requirements and other requirements is not enough in order to ensure that your company will always comply. There are several factors that needs to be considered appropriately to keep your company complies with all applicable safety legal requirements and other requirements.

Updating the list of safety legal requirements and other requirement is very essential in the stand point of company’s compliance.

The following tips will help you improving safety legal requirement and other requirements identification and evaluation. Ultimately, you will be able to make sure that your company will always comply with those requirements.

  1. Make a different legal list for safety and environment aspects. Don’t mix them.
  2. The list should include all legal requirement and other requirements that are applicable for your company or organization.
  3. Other requirements include best practices (e.g. codes, industry association guidelines), standards (national, regional, foreign, international), requirement of interested parties and company requirements.
  4. The legal list should be reviewed in a regular time or period to ensure that it will always be up to date.
  5. Review at least done once per year and do not forget to state it in your safety instruction or if you implement OHSAS18001 you should mention it on the procedure. More frequent review in a year is much better.
  6. The evaluation is made for its compliance. All of legal requirement and other requirements items should be fulfilled with evidence.
  7. Make a reliable procedure for identifying and accessing new legal requirement or updates. It will alert you when new legal is released or existing legal is revised.
  8. If there are legal requirements or other requirements that are not complied yet, prepare a complete plan. Make a time frame to complete all the tasks on that plan.
  9. Instruct related Department to include that plan in Department’s target or objective.
  10. Review all legal requirements and other requirements that your company has not complied yet in safety committee meeting or other safety meetings to monitor the progress.
  11. Make sure that every Department in the company already received a copy of the latest legal requirement and other requirements list.
  12. Whenever a new revision is made, distribute it to all Departments. Withdraw the previous revision. If necessary make an announcement to make it common.
  13. Those applicable safety legal requirements and other requirements should be communicated to contractors and suppliers who work on behalf of your company.

In many cases, companies do not record that they have reviewed their safety legal list in a regular period as stated in the procedure, since they update nothing. Companies are still necessary to state that their safety legal list is already reviewed. This is to show that companies are aware about this issue.
